Club Telescope/Equipment Check-Out (Borrowing) Terms and Conditions

The normal term of check-out/borrowing is three months, with renewing monthly terms as long as no other request for the equipment has been made. The club member entrusted with check-out (borrower) will keep the club Quartermaster informed of any issues with the equipment. After the expiration of the check-out term, the scope should be returned at the next club meeting, CRO visit, or by special arrangement with the club Quartermaster. Each borrower remains responsible for the scope until returned to the Quartermaster or other (willing) club board member. The Quartermaster must be informed of the circumstance and date of the return, and the name of the club representative it was left with.

• To check-out a club scope (or other equipment), the borrower must have been a club member a minimum of 3 months and be up to date on club dues. In the event of dues expiration, the equipment must be returned.
• OKCAC telescope borrowers should be prepared to commit to attending no less than two club events/star parties using the borrowed scope every three months. Events listed on the club event calendar either for public outreach or CRO member nights satisfy this requirement.
• By checking out club equipment (telescope, etc.), the borrower agrees that he or she will care for the equipment and be responsible for any damages. If the equipment is damaged, lost or stolen, the borrower is responsible for the loss and may be asked to reimburse the Oklahoma City Astronomy Club for repairs, or the fair market value of the equipment if lost or stolen. Any unresolved issue with a check-out may result in loss of future check-out privileges.
• Telescopes are delicate precision instruments and must be handled with care. Inexperienced borrowers should not attempt to disassemble any part of the scope or make adjustments, repairs, or cleaning of the optics without appropriate advice and guidance from the Quartermaster, other club board member, club representative, or a recognized advanced member of the club. Advanced members include any past or present board member or appointed club representative, or others as identified through club participation, and/or demonstrated experience.
• Please note that certain items may have restrictions or special conditions that must be met.
• For beginning/inexperienced club members, operating and care instructions will be provided in person each time a telescope is checked out. An ideal time for this would be during a club novice session.
• If you do not plan on using the scope/equipment for the entire check-out period, please advise the Quartermaster. It is your responsibility to arrange for pick up and return.
• All equipment will remain the property of the Oklahoma City Astronomy Club, with no implied transfer of ownership.
